Bacs Bureau Review

Your Bacs Bureau is processing your payments, but is it truly working for you? Graytide offers an independent review and assessment of your Bacs Approved Bureau, ensuring you get the most out of your Bacs Bureau services.

Are you getting value from your Bacs Bureau?

Your Bacs payments are submitted. Your Direct Debits and/or Direct Credits are transmitted and its a process that has been in a place for sometime. It works.
But, are you getting value from the Bacs Bureau?
I have run and worked with some of the largest Bacs Bureaux in the UK for over 25 years and whilst the Direct Debit process may not have changed, Bacs Bureau service and fees have.

Most organisations haven't moved their Bacs Bureau for many years. The market has moved on. Has your service?

Why should I review my Bacs Bureau?

Over the last 10 years especially, there has been a lot of acquisition of Bacs Bureaux. Some have been a success, others have not. What you may have signed up to originally, may not be the service you need or want today. What started as a reasonable fee, may have increased year on year but with no sense check of the market to see if the rate is competitive.

A simple review will clarify if your current Bacs Bureau is delivering value before any formal tenders.

Value over Change

You may have invested time and money in integrations and see any review of your Bacs Bureau a headache.

Our Independent assessment is the first stage of a process. It is not to  change but to understand and challenge the current setup, process and service. The outcome will empower you to feel confident discussing this with your Bacs Bureau, so you move forward positively.

Key areas where you may not be fully happy that you are getting value from your Bacs Approved Bureau:

  • Costs - transaction fees, monthly fixed costs and customer success are all adding an increased percentage on each Direct Debit collected.
  • Service - You feel like just a number. Questions take time, no real person and service seems to be heading in the wrong direction.
  • Errors - This should be very rare for a Bureau but if they do occur the service and response needs to be swift and you accept it wont occur again. Anything else may be a red flag.
  •  Data - from file import, export to API, something isnt't flowing or working as it should.
  • Team - Different internal teams are having different experiences or perceived issues. This may not be the Bacs Bureau but they need to be addressed quickly

A review of your Bacs Bureau doesn't mean a switch, it means clarity.

Frequently Asked Questions

Please reach us at hello@graytide.co.uk if you cannot find an answer to your Bacs Bureau question.

Great question. Selecting the right Bacs Approved Bureau starts with understanding what type of service you need. Do you already hold your own Service User Number (SUN), or do you need the bureau to hold one on your behalf? From there, consider volume, integration requirements, and whether you need dedicated support. Not all Bacs Approved Bureaux are equal - pricing models, service levels, and contract terms vary significantly.

Most Bacs Bureaux charge for each Direct Debit transaction processed, based on your volumes per month. Some also charge a percentage on the value. There are other costs around the Direct Debit transaction fee that need to be considered to get a true cost per Transaction.

A good benchmark is to calculate your total annual Bacs bureau cost divided by the number of transactions processed. If you are unsure where to start, an Independent Bacs Bureau review can give you that number quickly.

Six months  before your Bacs Bureau contract renewal is the ideal time to start a review.
Bacs Bureaux have varying terms around auto-renewal and notice periods, so leaving it too late can mean another year locked in without the chance to benchmark costs or service. Even if you're mid-contract, an independent review now means you're ready to act when the window opens.

Most Bacs Bureaux provide a great service and do exactly what you've asked of them. But markets move. Fees increase incrementally, service models change after acquisitions, and what was competitive five years ago may not be today. A review isn't about distrust, it's about making sure you can justify the cost and service with confidence. Most reviews either confirm you're in a good place, or identify savings and improvements you didn't know were available.

An independent Bacs Bureau review typically covers four areas: costs (transaction fees, fixed charges, and how they've changed over time), service levels (response times, dedicated contacts, issue resolution), technical setup (file formats, API integrations, reporting), and contract terms (notice periods, SLA commitments, renewal clauses). The goal is a clear picture of whether your current bureau is delivering value for you. It is not necessarily a recommendation to switch.

A Bacs Approved Bureau is an organisation accredited by Bacs (now Pay.UK) to submit payment files on behalf of other businesses. They allow organisations to process Direct Debits and Direct Credits without needing direct access to the Bacs network themselves. Some businesses use a bureau to hold their Service User Number (SUN); others hold their own SUN but use the bureau purely for submission. The type of arrangement you have affects your costs, flexibility, and options when reviewing or switching providers. If you are processing in-house or looking to setup Direct Debit as a payment option, do get in touch and we can help you.
